The Challenge

Roles, seats, and billing were previously tangled together. It wasn’t always clear who could do what in a project, who needed a paid seat, or how changes might affect billing which was leaving admins with extra work and guesswork.

Your Feedback

You asked for a clearer, more transparent system. In particular:

  • A clean distinction between organisation-level roles and project-level roles.
  • Simple, predictable rules around Planner access and paid seats.
  • Confidence that changing permissions wouldn’t affect billing unexpectedly.
  • Clear visibility over who can manage what across both organisation and projects.

The Update

We’ve introduced a transparent structure that separates roles, seats, and access:

  • Organisation Roles – Super Admin, System Admin, Billing Admin, and Member, each with defined scopes.
  • Paid Seats – Assigned at the organisation level, making billing predictable.
  • Project Roles – Project Admins and Members, with clear responsibilities inside projects.
  • Planner Access – Full access (requires a seat) or Limited access (basic features, no seat).
